Personal medical records

Staff medical-record tracking. Every employee at a food business must have a valid personal medical record book. The log shows whose records are nearing expiry.

What this log is for

The electronic medical record book log automatically reminds you a month before a chest X-ray or scheduled examination expires. This removes the risk of an inspector finding an expired document for an employee who is working.

Questions and answers

What should I record in Personal medical records?

Required fields: Full name, position and medical record book number; Date of the last medical examination; Date of the next medical examination; Fluorography and vaccinations. An empty field is equivalent to an incomplete log for an inspector, so use a dash deliberately and include an explanation.

How often should I complete Personal medical records?

According to the schedule, rather than daily: the frequency is set in the production control programme and must match the actual records.

Which document requires Personal medical records?

Russian Ministry of Health Order No. 29н of 28.01.2021. Include the regulatory reference on the title page so the inspector can immediately see why the log is kept.

Can I keep Personal medical records electronically?

Yes. SanPiN 2.3/2.4.4282-26 does not require paper: the important points are being able to see who made an entry and when, and preventing unnoticed retrospective changes. For an inspection, print the electronic log for the required period.

How long should I keep Personal medical records?

Inspectors usually request records for the last 12 months, so one year is a practical minimum. Keep logs connected with a food poisoning investigation or a complaint until the proceedings are closed.
